Work backwards from real deadlines

There is no single calendar that covers every institution. First confirm the intended intake and the exact deadline for each course, assessment and scholarship. Record the time zone if one is stated. Then set your own earlier target for being ready, allowing time for documents supplied by your school or other people.

Stage 1: explore and check eligibility

Read course content and entry requirements. Discuss subjects, location and cost with your family. If a test or interview is required, find its official registration process and available dates. Build a shortlist only after checking the course-level requirements for your qualification.

Stage 2: collect and prepare

Gather the documents actually requested. Ask your school how it handles transcripts, predicted grades and recommendations where relevant. Read every written prompt before drafting. Maintain a record of activities and projects so you can describe your own contribution accurately.

Stage 3: complete and review

  • Check names and dates against official documents.
  • Review word or character limits and required attachments.
  • Confirm that referees or school staff have completed their parts where needed.
  • Read the declaration and check payment instructions.
  • Keep a final copy of everything you submit.
Leave enough time to handle an upload or payment problem without depending on the final hour.

Stage 4: follow through

Save the submission receipt and application reference. Check the portal and the email account you used for requests, assessment invitations and decisions. If an offer is conditional, list each condition and the evidence needed to meet it. Record acceptance and payment deadlines separately from the original application deadline.

Make the plan manageable

Choose a short weekly review with your family. Ask: what is complete, what is waiting on someone else, and what must happen next? A clear sequence with ownership is more useful than a calendar full of vague reminders. Use our printable application checklist to turn this sequence into your own plan.
