Get your application documents organised

Requirements vary by programme. The items below are preparation prompts, not a statement that every application requires them. Open the instructions for each course and mark each item as required, not required or awaiting clarification before asking anyone to prepare documents.

Collect the school or university transcripts and certificates requested for your stage of study. Check whether predicted grades or provisional results are accepted if final results are pending. Ask your school about its process and turnaround time. If translation, certification or a particular submission channel is specified, follow those instructions exactly.

• Identity documents in the format requested.
• Official test reports, if relevant.
• A résumé or activities record, if requested.
• Written responses, portfolio or project evidence, where applicable.
• Recommendations submitted through the required route.
• Additional scholarship documents, only where required.

Do not assume a document needed for one institution must be sent to every other one.

Use one folder for common documents and one for each institution. Keep drafts apart from final versions. Name files clearly, such as “Surname_Transcript_Grade11.pdf”, while following any naming rule imposed by the portal. Keep dates or versions on working copies so an older draft is not uploaded accidentally.

Open each file before uploading. Confirm that every page is included, text is readable and the orientation is correct. Check file type and size limits, spelling of names and consistency of dates. Do not edit grades, signatures or other official content. If a record contains an error, ask the issuing organisation to correct it.

Keep the receipt and a list of what you submitted. Store sensitive documents securely and use verified institutional submission channels. A submitted form may still be waiting for a school report or recommendation, so check that the application is shown as complete.
